GCS Malta is seeking to recruit a Senior Front Office Administrator to work with a local public agency.

 

Responsibilities

  • Welcoming visitors and managing front desk operations.
  • Supporting and guiding the Front Office Administrator.
  • Handling calls, emails, and directing queries appropriately.
  • Maintaining a tidy, organized, and professional reception area.
  • Building positive relationships with colleagues and external parties.
  • Managing the Visitor Management System.
  • Logging, distributing, and tracking incoming mail.
  • Coordinating meetings, scheduling, and room setups.
  • Maintaining filing systems, calendars, and records.
  • Processing invoices and supporting credit-control follow-ups.
  • Assisting with documentation for yearly audits.
  • Arranging staff travel when needed.
  • Providing logistical support for events, courses, and training.
  • Performing other administrative tasks as assigned.
 

The applicant must hold an MQF level 4 certification, preferably in Administration and Secretarial Duties, coupled with a minimum of 3 years of relevant work experience OR a school leaving certificate, with a minimum of 6 years of relevant work experience.

Candidates must possess strong communication and organizational skills, with a keen attention to detail. They should be able to consistently uphold high service standards across both administrative and visitor-facing tasks.

Proficiency in both written and verbal Maltese and English is required, along with essential skills in Microsoft Office and office automation tools.
