GCS Malta is looking for an Executive Business Coordinator to join one of Malta’s leading corporate service providers.
The ideal candidate will have prior experience as a Personal Assistant to senior management or in business administration, preferably within a corporate services or professional services environment. An interest or background in HR administration, corporate governance, and compliance is an advantage, with training provided where required.
The role requires a trustworthy and discreet individual with strong organizational skills, the ability to manage multiple priorities, and excellent written and verbal communication for professional interaction with clients and internal teams.
Proficiency in CRM systems and Microsoft Office Suite is essential.

Responsibilities
- Providing full PA support to partners, including diary management, correspondence, travel, and meeting coordination
- Assisting with client meetings, proposals, quotations, and follow-ups
- Managing client jobs, interactions, and records within the CRM system
- Supporting financial and administrative processes in line with company procedures
- Handling HR administration, including employee records, onboarding, and confidential documentation
- Assisting with regulatory reporting and compliance documentation
- Coordinating departmental projects, tracking timelines, and updating stakeholders
- Planning and prioritizing workloads to improve team efficiency
- Supporting business development and operational improvement initiatives
- Carrying out additional duties as directed by the partners
