GCS Malta is looking for a Operations Officer - Ship Agent to work with leading shipping agency in Malta.
The ideal candidate should have prior experience working in shipping agency operations.
Applicants should be proficient in Microsoft Office and Outlook, with strong email management and etiquette skills. A good understanding of shipping procedures, maritime regulations, documentation, and systems such as PortOps TMSW is required.
Strong teamwork, organizational and multitasking skills are essential along with a keen eye for detail.
This role also requires strong communication skills in English and the ability to work flexible, extended hours within a shift-based system.

GCS Malta is looking for a Operations Officer - Ship Agent to work with leading shipping agency in Malta.
Responsibilities
- Coordinating marine fuel supply in port and at anchorage, including berth identification, barge scheduling, and liaison with suppliers and port authorities
- Securing required permits and ensuring compliance with port and customs regulations for bunkering operations
- Supervising bunkering activities, including surveyor/inspector attendance, delivery monitoring, quantity verification, and BDN documentation
- Managing customs clearance and ensuring regulatory compliance for fuel operations
- Arranging vessel port calls, including arrival, berthing, shifting, and departure with relevant authorities and terminals
- Submitting pre-arrival documentation via TMSW to port, immigration, customs, and health authorities
- Coordinating with VTS, pilots, tug services, and terminal operators, and communicating ETA/ETD updates with vessel masters and principals
- Preparing Statements of Facts (SOF) and operational reports while ensuring compliance with port regulations and safety requirements
- Submitting ENS declarations through customs systems (ICS2, AN, PN, TS)
- Arranging crew changes, including visas, transfers, and accommodation
- Handling spare parts logistics, ship spares delivery, and provisions supply
- Assisting with permits and coordination for underwater inspections, hull cleaning, and dockyard operations
- Providing technical and operational support, including change of ownership procedures
- Organizing launch boat services, medical assistance, Cash to Master (CTM), fresh water supply, and waste/sludge disposal
