Disbursement Accounts

GCS Malta is looking for a Disbursement Accounts to work with leading shipping agency in Malta. 
 

Responsibilities

• Preparing Proforma Disbursement Accounts (PDA) prior to vessel arrival, including estimating port-related expenses such as port dues, pilotage, towage, berth charges, agency fees, and related services 
• Submitting PDAs to principals/shipowners for approval and arranging advance funds 
• Collecting invoices from port authorities and service providers and preparing Final Disbursement Accounts (FDA) after vessel departure 
• Ensuring all expenses are accurately documented, justified, and compliant with procedures 
• Monitoring actual costs against PDA estimates, identifying variances, and explaining discrepancies 
• Liaising with port authorities, pilots, towage companies, stevedores, and bunker suppliers to coordinate services and obtain timely invoices and confirmations 
• Reconciling advances received with actual expenditures and arranging refunds or additional funding where necessary 
• Maintaining accurate financial records, preparing reports, and submitting supporting documentation to principals in compliance with company and port requirements  

The ideal candidate should have prior experience working in a ship agency, port operations or maritime finance. 

This role requires strong accounting and financial analysis skills, along with knowledge of maritime services. It also demands strong communication and coordination abilities, with a high level of attention to detail and accuracy.

Good Excel and shipping software skills are essential.
