GCS Malta is seeking an Executive Assistant to support one of Malta’s leading security companies. The selected candidate will provide high-level administrative and coordination assistance to the Joint CEOs and senior management team.
The ideal candidate should hold a tertiary level qualification, preferably a degree in Law, Business Administration, or a related field, along with a minimum of 5 years’ experience in a senior administrative, executive assistant, or coordination role.
This role requires proven experience supporting senior or executive-level management within a fast-paced, highly confidential environment. One should demonstrate the ability to work independently, manage competing priorities effectively, and take full ownership of responsibilities with minimal supervision.

GCS Malta is seeking an Executive Assistant to support one of Malta’s leading security companies. The selected candidate will provide high-level administrative and coordination assistance to the Joint CEOs and senior management team.
Responsibilities
- Managing complex executive calendars, including scheduling, prioritising, rescheduling, and resolving conflicts
- Coordinating local and international travel, itineraries, and accommodation
- Preparing executive reports, presentations, agendas, board packs, and meeting minutes
- Drafting and managing correspondence on behalf of senior management as required
- Tracking actions and decisions to ensure timely follow-up and completion
- Acting as a trusted administrative support partner with full discretion and confidentiality
- Organising meetings, board sessions, and workshops, and preparing accurate minutes and follow-up actions
- Liaising with internal and external stakeholders and ensuring clear communication flow
- Coordinating information between executives, departments, and external parties
- Maintaining records, documentation, and filing systems in line with governance and compliance standards
- Supporting process improvements and administrative efficiency across executive operations
