GCS Malta is looking for a Corporate Officer & Office Administrator to work with a renowned consultancy company in Malta. The chosen candidate will be reporting directly to the Managing Director.
 

Responsibilities

  • Supporting incorporation and ongoing administration of companies, trusts, foundations and client structures.
  • Preparing MBR filings and maintaining statutory corporate records in line with regulatory requirements.
  • Assisting with KYC/AML onboarding, due diligence and maintenance of accurate client records.
  • Drafting board minutes, resolutions and corporate documentation; liaising with clients, banks and professional advisors internationally.
  • Supporting banking matters, including account openings, payments and coordination with financial institutions.
  • Assisting the Managing Director with client-related documentation, follow-ups and coordination.
  • Overseeing day-to-day office operations, including suppliers, facilities and IT coordination.
  • Coordinating meetings, schedules and internal logistics across the team.
  • Maintaining organised filing systems and supporting internal reporting and administration.
  • Assisting with employee onboarding and preparation of presentations and internal materials.
  • Acting as first point of contact for clients and visitors, handling calls, correspondence and enquiries.
  • Managing meeting room bookings, office logistics and courier/post services.

The ideal candidate should have at least 2–4 years’ experience in corporate services, administration, or a similar role in Malta. Experience within a corporate service provider or regulated environment will be considered a strong asset.

One should have sound knowledge of Maltese company administration and basic AML/KYC frameworks is required. Experience with trusts, foundations, securitisation, and international structures is an advantage. Candidates should be highly organised, detail-oriented, and able to manage multiple deadlines, with prior support experience for senior management seen as a plus.

Fluency in both written and spoken English is required, while knowledge of Italian or Maltese would be a strong advantage. A good working knowledge of MS Office applications is also required.
