GCS Malta is looking for an Office Administrator to work with one of Malta’s leading printing companies.
 

Responsibilities

  • Managing the reception area and handling incoming calls, enquiries, and visitors.
  • Maintaining the visitors' log and carrying out reception security checks.
  • Preparing payroll information, including work hours, overtime, and attendance records.
  • Updating employee attendance and liaising with department heads regarding absences.
  • Managing office supplies, placing orders, and liaising with suppliers.
  • Coordinating office maintenance and repair requirements.
  • Filing, scanning, copying, and maintaining physical and electronic records.
  • Preparing and processing outgoing mail, courier shipments, and important documentation.
  • Assisting with the organisation of company events alongside the HR Manager.
  • Posting accounting transactions, supplier invoices, and journals into the accounting system.
  • Supporting the invoicing process and sending invoices and statements to clients.
  • Preparing foreign payments through online banking portals.
  • Performing document filing, reconciliations, and providing general administrative support across departments.

The ideal candidate should have previous experience in an administrative, office support or similar.
 
This role requires excellent organisational, communication, and time management skills, with the ability to manage multiple tasks efficiently while maintaining strong attention to detail.

Proficiency in Microsoft office Suite such as Word, Excel, Outlook and PowerPoint is needed.
